Data protection and other policies

Our activities require the collection and processing of personal data but do not worry. Just read the enclosed privacy policy and you will learn
how we collect and process personal data as well as the reason for doing so. We may update the privacy policy if our activities or principles of data protection are changed. These changes will enter into force once we have made the changes to this privacy policy. Therefore, you should occasionally check this page.

What is the name of your register?
The customer and marketing register of ValtaGroup Oy.

For what purposes do you collect personal data?
We collect and process personal data for purposes that are primarily related to the management of customer relations, which may include such activities as production and provision of services, invoicing, debt collection, management of complaints, customer support, and feedback requests. We may also collect and process personal data for the purposes of our own marketing communications within the limits of the law. In some cases, we may also collect and process your personal data for the purpose of fulfilling our statutory obligations, such as accounting and regulatory requirements. Information pertaining to job applicants is collected and processed for recruitment purposes, such as the evaluation of an applicant’s suitability and selection. We only store and process personal data for your benefit!

What data do you collect?
We may store general information pertaining to a person, including for example their name, title, job, email address, telephone number, and address. We may also store information pertaining to purchased services/interests, the provision of purchased services, provided feedback, and invoicing information. Any other information you provide, such as contacts made through the chat service, may also be recorded. In some cases, we may also record the IP address of a person. Read more about the information we collect through cookies. With the consent of a person, we may also collect and process other information.

From which sources do you collect personal data?
We primarily collect personal data from the persons themselves through forms on our website, the chat service, and emails and phone calls,
for example. We do not record phone calls, but we may store your number and keep a record of information you have provided over the telephone. We may also record personal data received during an event or meeting or other activities of ValtaGroup. Some information is received through the cookies used on our website. We may also acquire information through generally available Internet sources and other public sources of information.

Who do you disclose information to?
We only disclose personal data to third parties when required and to the extent necessary in order to ensure the functionality and quality of our service. We do not disclose information to third parties for marketing purposes without the written permission of the person. We may also disclose personal data to third parties where required to do so as a result of measures by Finnish authorities.

Do you transfer data outside of the EU or EEA?
In some cases, we may also transfer data outside of the EU or EEA, as some of the cloud-based services we use may be located outside of these areas. In such cases we will ensure that the country has an adequate level of data protection as intended by the EU Commission, that the transfer is carried out using the standard clauses approved by the Commission, or that the transferee is Privacy Shield certified.

How is the personal data protected?
Register information can only be accessed by ValtaGroup’s owner and the employees who require access due to their work. The data is protected using user-specific IDs and passwords as well as by a firewall, antivirus software, and SSL protocol in accordance with the general practices of the industry. Data is stored on encrypted servers. Any information processed manually is stored in an area secured with locks.

For how long do you store personal data?
The storage period of personal data may vary based on their intended use and the specific situation. In each case however, the storage periods remain reasonable and we have no need to store information that is unnecessary in terms of our activities. Legislation (such as the Accounting Act) may also oblige us to store some personal data for a specified period. Data will also be erased at the request of data subjects.

Can I review what information pertaining to me you have collected?
In general, each data subject has the right to review their information stored in the register. Such requests should be emailed to hannele.konnomaki@valtagroup.fi.

My information is incorrect, can you correct the information?
Each data subject has the right to demand the correction of incorrect information included in the register. Such requests should be emailed to hannele.konnomaki@valtagroup.fi. In the email, the data subject must specify what information pertaining to them they wish to update and provide the correct information.

What other rights pertaining to the processing of personal data do I have?
We will erase information from the register at the request of a data subject or if the professional responsibility is changed. A data subject can request to remove themselves from the communication register by emailing hannele.konnomaki@valtagroup.fi.

Bear in mind that if you do not provide your personal data or allow us to process said data, we probably will not be able to serve you or provide you the products/services you require.
